As we create data models in Power BI Desktop, we plan to create datasets that we can distribute in the Power BI service. Besides, other report creators can also use these datasets as a basis for their own reports. We will now discuss the steps to shared datasets.

Steps to Shared Datasets

  1. Firstly, we start by creating a .pbix file with a data model in the Power BI Desktop. So, if you are planning to offer this dataset for others to build reports, you may not even design a report in the .pbix file.
  2. Secondly, publish the .pbix file to a new workspace experience in the Power BI service.
  3. Thirdly, we can also publish an app from this workspace. When you do, on the Permissions page, you specify who has permissions and what they can do.
  4. Lastly, select Publish app, or Update app if it’s already published.

How to track your dataset usage?

For shared dataset in workspace, we may need to know what reports in other workspaces are based on it.

  1. Firstly, in the Datasets list view, select View related.
  2. Secondly, the Related content dialog box shows all related items. In this list, we see the related items in this workspace and in Other workspaces.

Power BI Template Apps

Power BI template apps allow Power BI partners to build Power BI apps with minimum or no coding at all. Thereafter, deploy them to any Power BI customer. As a Power BI partner, we can create a set of out-of-the-box content for customers and publish it. The primary use of Power BI template apps are –

  • Firstly, we can build template apps that permit customers to connect and instantiate within their own accounts.
  • Secondly, as domain experts, they can unlock the data in a way that’s easy for their business users to consume.
  • Next, it allows submitting template apps to the Partner centre. The apps then become publicly available in the Power BI Apps marketplace and on Microsoft AppSource.
  • Lastly, Power BI Template Apps permits Power BI Pro or Power BI Premium users to gain all the insight through prepackaged dashboards and reports connected to live data sources.
