When making changes, it is recommended that we clearly publish them so that everyone who has access to the app can see them. As a result, any modifications you make to a canvas app will be automatically published for you and anybody else with editing permissions. Power Apps is a platform for building custom business applications. Canvas Apps is one of the types of Power Apps, and it allows you to create an application using a drag-and-drop interface. Once you have created a Canvas App, you can save, publish, and share it with others in your organization.

Steps to Save Changes to an App

You must select Save on the File menu and then follow the steps below –

  • Firstly, if you have never saved the app before, then Save from the File menu automatically takes you to Save as option. Then Select location as The cloud, provide a name for it and then select Save.
  • Else, if the app has ever been saved, then select Save. Moreover, you can also leave version-specific notes or comments.
  • For periodically saving the app, authors can enable or disable the Auto save setting from the Account tab on the File menu.

Steps to Publish an App

  • Firstly, in Power Apps Studio, select Save on the File menu (on the left edge), and then select Publish.
  • Then, in the Publish dialog box, select Publish this version to publish the app to all users with whom the app is shared.
  • Also, to publish the most recent version, highlight the version and select ellipsis (…). Then select Publish this version from the drop down menu.

Sharing a Canvas App in Power Apps

Once you build a canvas app that addresses your business need, it is important to specify users in your organization that can run the app and even reshare it. Also, it is suggested to specify each user by name, or specify a security group in Azure Active Directory. Some of the prerequisites to share the app include –

  • Before you share an app, you must save it to the cloud (not locally) and then publish the app.
  • Give your app a meaningful name and a clear description.
  • For any changes made, you must save and publish the app again.

Steps to share an app

  1. First, Sign in to Power Apps.
  2. Secondly, Select Apps from the left pane.
  3. Thirdly, select the app that you want to share by selecting its icon.
  4. Next, select Share from the top menu. You can also select More Commands () and then select Share from the drop-down menu.
  5. Then, specify by name or alias the users or security groups in Azure Active Directory with which you want to share the app.
  6. If you want to allow the users to edit and share the app, select the Co-owner check box.
  7. Also, if your app connects to data for which users need access permissions, specify them.
  8. Moreover, if you want to help people find your app, select the Send an email invitation to new users check box.
  9. Lastly, at the bottom of the share panel, select Share.
